How to configure the Notifications preferences web part ? (Admin)

Setting up notification preferences globally

1. Overview

The Notification Preferences web part allows administrators to configure how users manage their notification settings across Involv. You can set global defaults, manage content types, and decide which channels are available for notifications.

2. What you’ll learn

In this guide, you’ll learn how to:

  • Configure global notification channels (Mail, Intranet, Teams, Mobile).

  • Manage content type filters (News, Events, Jobs, FAQs, Incidents).

  • Enable or disable user notification preferences.

  • Set up content subscription options.

  • Define default audience groups and visibility options.

  • Apply advanced audience filters and language filters for segmentation.


3. General settings

In edit mode, the web part properties panel allows you to configure:

  • Title: Edit the web part title.

  • Search field mapping: Adjust mapping for search integration.

  • Enable manual saving: Toggle to allow users to manually save preferences.


4. Notification Preferences

  • Enable notification preferences: Allow end users to edit their own preferences (channels and subscriptions).

  • Content types: Manage which types of content can be used in notifications.

    • Default types: News, FAQs, Events, Jobs, Incidents

    • Settings per type:

      • Content type (name)

      • Label (display name in Notification Preferences)

      • Icon (visual representation)

  • Manage content category:

    • Field

    • Label

    • Dynamic (toggle for dynamic categories)

    • WebURL (link to category source)


5. Content Subscription

  • Enable or disable subscriptions globally.

  • Use same configurations as notifications (toggle).


6. Channels

By default, the Notification Preferences web part supports four channels:

  • Mail

  • Intranet

  • Teams

  • Mobile

Each channel has two toggles:

Setting Description
Enable Decide if this channel should be available to send notifications.
Checked by default

Define whether the channel is automatically selected when creating a new notification.


7. Defaults

  • Enable editing of defaults: Allow admins to set defaults for audience groups.

  • Defaults to edit: Choose which group (audience group) to configure.

  • Switch on/off which preferences are enabled by default for that group.


8. Audience properties configuration

When selecting an audience (e.g., a distribution list), you can refine it further with advanced audience filters.

Example:
You select a distribution list with all employees but apply an advanced filter for Department = Sales. Only Sales employees will receive the notification.

Requirements:

  • The property must exist in the SharePoint User Profile.

  • The exact internal name must be used in the filter configuration.

Field Description
Label Display name shown in Notification Preferences.
Property Exact internal name of the user profile property.
Type Data type (text, drop-down, etc.).
Options Available options if the property is a drop-down.

9. Language Filter

In multilingual environments, notifications can be filtered by user language.

This ensures that only users who have set their profile language to, for example, French or English, receive the corresponding notification.

Advantage: Both advanced audience filters and language filters reduce the need for multiple Entra ID distribution lists. Segmentation happens directly in the Notification Preferences web part.


10. Visibility

  • Show in mobile & email view (toggle).

  • Decide whether the Notification Preferences web part should appear in mobile and email views.
