The Newsletter functionality in Involv allows you to design, manage, and send professional newsletters straight from the Involv Manager. With templates, themes, and a drag-and-drop builder, you can quickly create engaging communications for your employees or external audiences.

4. Writing a newsletter straight from Involv Manager

Templates

Inside the templates section of Involv Manager you can:

  • Start from a blank newsletter

  • Use, preview, or delete a template

 

Open the Newsletter Calendar


Setting Explanation
Filter Choose to display newsletters that are Sent, Scheduled, or still in Draft.
Calendar view / List view See newsletters plotted on a calendar (for planning) or as a list (for quick overview).
Status Shows whether the newsletter is scheduled, already sent, or still a draft.
Actions Edit or delete newsletters directly from the overview.
  • Go to Drafts

    • Search drafts by name

    • Sort drafts by subject or last modified date

    • Edit or delete the draft

Themes

  • Create a new theme to match your brand identity

  • Edit or delete an existing theme when updates are needed


5. Creating your newsletter

Whether you start from blank or from a template, you’ll work in the drag-and-drop newsletter builder.

Structure blocks

Option Use case
1 column Simple, focused text or images
2 columns Place text next to an image or two items side by side
3 columns Ideal for quick updates or highlights
2/3 columns Balanced layout: wide article + narrow sidebar
1/3 columns Narrow main block with wider supporting content

Content blocks

Block Description
Title Add a heading to sections
Text Insert paragraphs or detailed info
Image Display visuals to support the message
Separator Add spacing or dividers between sections
Buttons Include calls-to-action (e.g. “Read more”)
Article Add content from the Involv news/articles library

Settings per content block

Each content block in the drag-and-drop newsletter builder comes with its own settings. Below you’ll find all options explained.

Title Add the heading text
Link Make the title clickable with a hyperlink
Alignment Align left, center, or right
Color Choose the font color

🟩 Text block

Setting Description
Alignment Align text left, center, or right

🟨 Image block

Setting Description
Select image Upload or pick an image from the library
Alignment Align image left, center, or right
Full width (yes/no) Stretch the image across the entire content width
Width Define a custom width (in pixels or %)

🟧 Article block

Setting Description
Import/select article Choose an existing article from Involv
Write your own Create a new article manually inside the block
Title Display or customize the article title
Text Show a summary or custom text
Link Add a “read more” link to the full article
Layout Choose how the article is displayed (image on left, right, top, etc.)
Show more button Toggle on/off to display a button leading to the article
Image Add/change the article image
Date Show or hide the publishing date
Tags Show article tags for quick categorization

Setting Description
Alignment Align button left, center, or right
URL placeholder toggle Use placeholders if the URL is dynamic or linked to internal data
Title Text displayed on the button
Link URL where the button should lead
Style Choose between primary, secondary, or outline style
Add more buttons Add multiple buttons in one block (e.g. side by side)

 

Theme customization

Themes control the design of your newsletter. You can import an existing theme or create one from scratch.

Customization Explanation
Fonts Define separate fonts for titles and text
Colors Enable custom colors for every element (title, text, section, tags, buttons, etc.)
Buttons Style primary, secondary, and outline buttons, including hover and text colors
Links Adjust “show more” links or article links to match your branding

This makes sure your newsletter stays consistent with your company branding.


6. Saving and previewing

After designing your newsletter you can:

Save Keep your progress while continuing later
Preview Test how your newsletter looks on PC or mobile before sending
Send Go directly to the sending panel
Save as template Reuse your newsletter design in future campaigns
Save as draft Keep it in drafts for later editing
Cancel Exit without saving

7. Sending your newsletter

The Send panel finalizes delivery.

Setting Explanation
Send newsletter Directly deliver to your chosen audience
Create a newsletter page Publish the newsletter as a page in your intranet for wider access
Sender Choose the sender address (default or custom)
Subject Required field – this is what recipients will see in their inbox
Audience Select internal audiences or groups
External emails Add external contacts if needed
Language Choose the language of the newsletter
Schedule Pick a date and time for automated delivery
Send Confirm and distribute the newsletter immediately or at scheduled time
