How to enable Automatic Notifications (Admin)

Automatically send notifications when new content is published

1. Overview

Involv offers the option to send automatic notifications whenever an article is published on the intranet. These notifications are delivered based on the Notification Preferences that each user has configured for themselves.

👉 If you want to know how end users can manage their own preferences, see How to set my Notification Preferences.

2. What you’ll learn

In this guide, you’ll learn how to:

  • Enable automatic notifications globally in the Admin Configuration.

  • Configure default notifications for different audiences.

  • Manage default settings for content types, categories, and channels.

  • Understand how automatic notifications respect language preferences.

3. Prerequisites

To allow automatic notifications to be sent, three configurations must be set in the General tab of the Admin Configuration:

  1. Notification Center → must be set to True.

  2. E-mail notification address → must be filled in.

  3. Enable automatic notifications → must be switched on.

4. Default notifications

As a content admin, you can create default notifications in the properties of the Notification Preferences web part.

👉 Open the Notification Preferences web part to configure these defaults:
/SitePages/Notification-Preferences.aspx

You can add and update several default notification setups depending on the audiences you want to reach.

With default notifications, you can define:

  • Which content types are used (e.g., News, Events, Jobs, FAQs).

  • Which content type categories are included.

  • Which channels (Mail, Intranet, Teams, Mobile) are enabled.

5. Storage of defaults

The default settings you configure are stored in the General tab of the Admin Configuration:

  • Default Notification Channels

  • Default Notification Preferences fields

  • Default Content Subscription

These defaults serve as the basis for automatic notifications across your intranet.

6. Multilingual support

On a multilingual tenant, automatic notifications respect the language preferences defined in the user profile:

  • Users with English or any other non-specified language preference → receive notifications in English.

  • Users with French preference → receive notifications in French.

  • Users with German preference → receive notifications in German.

  • Users with Italian preference → receive notifications in Italian.

This ensures each user receives automatic notifications in their preferred language without requiring separate distribution lists.
