How to use the content overview?

Get full control over all content items, filters, actions, and reviews in one central overview

1. Overview

The View All Content screen in the Involv Manager allows you to access, manage, and review every content item across your Involv intranet.

From this central dashboard, you can manage all content types, including:

  • News

  • Events

  • Jobs

  • Notifications

  • FAQs

  • Other portal content

Each item is displayed in a structured overview with key metadata:

  • Title

  • Author

  • Status (Draft, Published, etc.)

  • Created date

  • Article date

  • First published date

  • Scheduled end date

  • Site (location)

  • Content type

This gives you complete visibility into what is live, scheduled, under review, or still in draft.

How to access and manage all content

Step 1: Open the Involv Manager

  1. Click the Manager icon.

  2. Select Manage Content.

  3. Click Content Overview.

You are now in the View All Content dashboard.


How to search content

You can quickly find content using the search bar at the top of the screen.

Search by keyword

  • Enter a keyword in the Search field.

  • The system instantly filters results based on matches in:

    • Title

    • Author

This is ideal when you know the name of the article or the content owner.


How to filter content

The filtering options allow you to narrow down large content lists efficiently.

1. Filter by time range

  • Click the Time range dropdown.

  • Select:

    • Last month

    • Last 3 months

    • Custom date range

The overview refreshes automatically based on your selection.


2. Filter by site

  • Click the Site dropdown.

  • Select the relevant site or portal location.

This is useful in multi-site environments.


3. Filter by author

  • Click the Author filter.

  • Select a specific content owner.

You will now see only content created by that person.


4. Filter by content type

  • Click the Content type dropdown.

  • Choose a category such as News, Events, Jobs, etc.

This isolates a specific content category.


5. Quick status filters

In the top-right corner, you can filter by:

  • Only my content

  • Only drafts

  • Only published

These shortcuts help you focus immediately on relevant items.


Combine filters for precision

Filters can be combined.

Example:

  • Select Last 3 months

  • Search for “HR”

  • Filter on News

You now have a highly targeted content view.


Content actions available

From the View All Content overview, you can perform direct actions on each item.

Publish or unpublish

  • Change the status of draft or published items directly from the overview.


Send a notification

  • Trigger a notification for the selected content item.

Copy, move, or delete content

You can:

  • Move content to another site

  • Copy content to reuse it elsewhere

  • Delete content permanently

When moving content:

  1. Select the item.

  2. Choose Move.

  3. Select the target site.

  4. Confirm.


How to manage content reviews

The Review functionality helps you maintain governance and approval workflows.

Access reviews

  1. Click the Review tab.

  2. Select the content item.

  3. Click Review to view approval status and feedback.

You can see:

  • Current approval status

  • Assigned reviewers

  • Feedback comments


Assign a reviewer

  1. Click the Reviewer selection field.

  2. Choose the appropriate reviewer.

  3. Click Save to confirm.

The reviewer will now be responsible for approving or providing feedback on the content item.


Best practices

  • Use filters instead of scrolling through long lists.

  • Regularly review drafts to prevent outdated content.

  • Combine time range + author + content type for faster governance checks.

  • Use reviews to maintain quality control and structured approval flows.
